Video Submission & Sharing Policy

Effective Date: 10/14/2025

As part of parent consultation and coaching services, Beachn Behavior LLC may request or review short video recordings submitted by parents or guardians. These recordings are intended to help the BCBA better understand the child’s behavior and environment to provide more accurate, individualized recommendations.

Purpose of Video Submissions

Videos allow the BCBA to:

  • Observe behavior patterns, environmental triggers, and family interactions relevant to identified concerns.

  • Provide targeted feedback and examples of evidence-based strategies.

  • Support parent learning and functional behavior analysis during consultation.

Videos are used solely for educational and consultative purposes within the context of Beachn Behavior LLC’s services.

Parent Responsibilities

Parents or guardians who choose to submit videos must:

  • Ensure that all individuals appearing in the video have given consent to be recorded and viewed by the BCBA.

  • Avoid including unrelated individuals or private information not relevant to the consultation.

  • Submit videos only through HIPAA-compliant platforms approved by Beachn Behavior LLC (such as encrypted upload links or secure cloud storage).

  • Refrain from sending videos via text message, social media, or non-secure email.

Confidentiality and Security

  • All videos are treated as Protected Health Information (PHI) and stored using HIPAA-compliant systems.

  • Videos are encrypted, password-protected, and accessible only to Beachn Behavior LLC BCBAs for the purposes of consultation.

  • Videos will not be shared, copied, or used for training, advertising, or any other purpose without the parent’s written consent.

  • Videos are deleted securely within 30 days after the completion of services unless otherwise required by law or requested by the parent for deletion sooner.

BCBA Limitations

  • The BCBA’s review of submitted videos is observational and educational and does not constitute diagnosis, formal behavioral assessment, or therapy.

  • The BCBA may request additional or alternative videos if needed to clarify behavioral patterns or environmental variables.

  • Beachn Behavior LLC reserves the right to refuse review of videos that were not submitted through secure, approved channels.

Consent to Submit Videos

By providing video recordings to Beachn Behavior LLC, you acknowledge and agree that:

  • You voluntarily consent to the BCBA’s review of the video(s) for consultation purposes.

  • You understand that these videos are confidential and will be handled in accordance with HIPAA regulations.

  • You understand that Beachn Behavior LLC will not record, duplicate, or distribute your videos without explicit written consent.
