Scheduling, Payment & Attendance Policies

Please contact courtney.s@beachnbehavior.com to reschedule your consultation.

Effective Date: 10/14/2025

Payment Policy

At Beachn Behavior LLC, consultation times are reserved exclusively for each family. To confirm your appointment and ensure preparation time for your session, payment is required in full at the time of scheduling.

Accepted Payment Methods

Payments are processed securely through HIPAA-compliant scheduling and payment platforms. Accepted methods include major credit or debit cards. Cash, checks, or in-person payments are not accepted.

  • Appointments are not confirmed until full payment has been received.

  • If payment is not completed at the time of scheduling, the session time may be released for other clients.

  • Payment covers the BCBA’s preparation time, documentation, and consultation session.

Cancellation Policy

At Beachn Behavior LLC, consultation appointments are reserved exclusively for each family to ensure individualized support and preparation time. Because each session time is set aside specifically for you, cancellations directly impact scheduling availability for other families.

24-Hour Notice Requirement

Cancellations made at least 24 hours in advance of your scheduled session may be rescheduled once to a future date, based on current availability.

  • Rescheduled sessions must occur within 30 days of the original appointment date.

  • Only one courtesy reschedule is allowed per service.

Cancellations Made Less Than 24 Hours in Advance

If a cancellation is made less than 24 hours before your scheduled session, the appointment will be considered a late cancellation.

Rescheduling late cancelations is at the discretion of the provider, and will be determined on a case-by-case basis. Late cancellations are not entitled to a rescheduled consultation.

No-Shows

If you fail to attend your scheduled session and do not contact Beachn Behavior LLC at courtney.s@beachnbehavior.com within the 15-minute grace period, the appointment will be classified as a no-show. No-shows are non-refundable and not eligible for rescheduling.

Beachn Behavior LLC reserves the right to cancel or reschedule an appointment in rare cases (e.g., illness or technical issues).

In such cases, clients will be contacted promptly to arrange a new time at no additional cost.

Refund Policy

At Beachn Behavior LLC, every consultation is carefully scheduled to reserve time exclusively for your family. Because these appointments block time that may not be able to be filled on short notice, all payments are non-refundable. All consultation fees are non-refundable, regardless of attendance or cancellation reason. Payment confirms your reserved time and preparation for your session.

Rescheduling Eligibility

If you need to reschedule, you may be eligible for one courtesy reschedule per service, provided that:

  • You give at least 24 hours’ notice before your scheduled appointment time, as stated in the Cancellation & Rescheduling Policy.

  • The rescheduled session occurs within 30 days of the original appointment date, based on current availability.

Rescheduling requests must be submitted through email at courtney.s@beachnbehavior.com. Repeated cancellations or reschedule requests may result in denial of future scheduling opportunities.

If you do not attend your scheduled session, and no prior notice is received within the 15-minute grace period, the appointment is considered a no-show, and the session fee is forfeited in full. No refunds or reschedules will be offered for no-shows.

Beachn Behavior LLC reserves the right to cancel or reschedule an appointment in rare cases (e.g., illness or technical issues). In such cases, clients will be contacted promptly to arrange a new time at no additional cost.

Late Arrival Policy

Beachn Behavior LLC values each family’s time and strives to begin and end all consultations as scheduled. Because sessions are booked back-to-back, it is important that appointments start promptly to allow for the full consultation experience.

If you are running late, please notify the BCBA as soon as possible by email at courtney.s@beachnbehavior.com .

A 15-minute grace period is provided. If no communication has been received within 15 minutes of the scheduled start time, the session will be considered a no-show and cancelled.

If you arrive late but have communicated your delay, the consultation may still proceed for the remaining scheduled time; however, it is unlikely that the session can be extended beyond the original end time due to other scheduled appointments. Full session fees still apply for shortened sessions caused by late arrival.

This policy ensures that each family receives the full, dedicated time they reserved and that sessions begin and end on schedule for all clients.
